We’re looking for an Executive Assistant – Sales to keep our commercial operations running smoothly. In this role, you’ll work directly alongside our Sales & Marketing Director and Pre-Construction Manager, acting as their go-to person to ensure they stay organised and focused on the right priorities.
You’ll be the glue that holds the pre-construction process together, making sure nothing gets missed and every project stays on schedule.
This is a high-level role for an experienced EA who can bridge the gap between a client’s first inquiry and the start of construction. You’ll be the person who catches the small details and ensures our projects transition seamlessly from a “sale” to a “build.”
Key Responsibilities:
- Run Sales daily huddles and weekly Level 10 meetings, ensuring agendas are followed, actions are clearly captured, and all attendees (including Directors) are held accountable for completing agreed actions.
- Own and continuously improve our Sales systems and processes, including CRM, Monday.com, and SharePoint. You’ll look beyond “business as usual” to proactively refine workflows, improve data quality, and increase team efficiency.
- Serve as the primary point of contact for incoming leads, managing follow-ups via phone, email, and WhatsApp. You’ll prepare and issue quotes and contracts, supporting the sales process through to deal completion.
- Manage Directors’ diaries, task lists, and priorities, ensuring their time is focused on the right activities and that key deadlines and project milestones are never missed.
- Support estimating activities by completing take-offs from drawings and producing detailed costings. The reports and data you provide will directly inform management decision-making and commercial strategy.
About You:
- You have 3–5 years of solid experience in a high-level administrative or EA role. A Level 3 Business Administration qualification (or similar) is a big plus.
- You enjoy making processes more efficient. You have a proven track record of getting the most out of CRM systems and improving workflows.
- You’re high-energy and take pride in keeping things “ship-shape.” You are comfortable working with senior stakeholders and have the confidence to prompt for actions and lead meetings with authority.
- You are highly proficient in Excel, PowerPoint, and CRM software. You have the numerical accuracy needed to handle complex project costs and technical specs without breaking a sweat.
- You hold a valid driving license and are happy to travel occasionally to support the business when needed.
